- Chipped Edges: When carbide tools bang into each other in a metal box, the cutting edges chip. You might not see it with the naked eye, but under a microscope, it looks like a mountain range. That chip translates to a rough finish on your parts.
- Corrosion: Oils from your fingers and moisture in the air (especially if you’re running coolant) eat away at the steel.
- Bent Shanks: Throwing a delicate tool into a bin is a great way to introduce a slight, almost invisible wobble into your spindle.
The “Don’t Touch” Rule (It’s a Real Strategy)
We have a rule in our shop, and we highly recommend you adopt it. It’s the “Don’t Touch” rule.
Now, that sounds silly for a tool you have to handle, but hear us out. It refers to the protective packaging. That little plastic sleeve or the wax coating that some manufacturers use? It’s not there to annoy you. It’s there to prevent corrosion and physical damage.
Here’s the hard truth about handling your accessories:
- Never throw them loose in a drawer. Ever. If you don’t have a drawer organizer, buy one or build one. Use the foam inserts or the plastic grids.
- Respect the coating. If you have a TiN (Titanium Nitride) or TiAlN coating, you know it increases tool life. Scratching that coating off by rubbing it against steel ruins that benefit.
- Clean before storing. This is the big one. Swarf (the metal chips) and coolant are abrasive. If you put a tool holder away with coolant on it, the coolant dries and gets gummy. It attracts even more dust and metal shavings.
Where Does Your Organization System Break Down?
Most machinists have a system. It might just be a bad one.
Usually, it breaks down because there are too many different types of items. You can’t just have one bin.
You likely have:
- Frequently used items: The “go-to” end mills, the common collet sizes, and your favorite drill bits. These need to be immediately accessible. You should be able to grab these with your eyes closed.
- Specialty items: Ball nose cutters, dovetail cutters, and those weird threading tools you only use for that one customer. These don’t need to be front and center, but they need to be findable.

- Individual Holders: We love the PVC pipe trick. You can cut pieces of PVC pipe and mount them in a piece of wood. It creates a simple, cheap stand for your tool holders.
Zone 2: The “Warm Zone” (The Periphery)
This is where we keep our current job’s active tooling. The tools you need for this week’s parts.
- Drawer Organizers: You can get cheap plastic divided boxes for this. Label each section. “3/8 End Mills,” “1/2 End Mills,” “Drill Bits.”
- The “Job Box”: We use plastic bins with lids. We label them with the job number and the customer name. If we are running a 500-piece order, we put all the tooling for that job in that box. When the job is done, we don’t have to think about where the tools go; we just put the box back on the shelf.
Zone 3: The “Cold Zone” (Long-Term)
This is for the tools you need but don’t use often. The spares. The custom tools that cost a fortune.
This is the one that causes the most stress.
Out of sight, out of mind. But it’s also dangerous. If it’s in the “Cold Zone,” you need a good inventory system.

What you actually need is visual separation.
- Clear Plastic Bins: This is the answer. If you can see it, you won’t forget you own it.
- Label Everything: We don’t just mean “End Mills.” We mean “End Mills, 2-Flute, Aluminum.”
The physical organization protects the CNC tool and displays it to you. If you have a cardboard box, you have to open it. That creates friction. Friction means you are less likely to put it back, and more likely to just leave it on the bench. That is how you lose it or damage it.
The Money Math: Why This Matters
Let’s do the quick math, shall we?
Let’s say you have just one operator in your shop. That operator spends 15 minutes a day looking for tools. Let’s assume you pay them $35/hour.
- 15 minutes = $8.75 a day.
- $8.75 x 5 days = $43.75 a week.
- $43.75 x 50 weeks = $2,187.50 a year.
That’s just time. That doesn’t include the cost of the tools they are damaging.

- Collets: These are the most annoying to store. They roll. They are tapered. We like to use the wall mount racks. You can also use pegboard hooks. It keeps them sorted by size.
- Tool Holders (CAT, BT, HSK): These are heavy. If they fall, they are damaged.
- Solution: We use the heavy-duty plastic racks that slide into a shelf. They are designed specifically to hold the tool holder by the flange.
- Inserts: These are tiny and expensive. We use the multi-compartment plastic boxes that look like fishing tackle boxes. We label each compartment with the carbide grade.
- Soft Jaws: These are heavy and bulky. We stack them on shelves. We make sure we label the material they were used for. You can’t use Aluminum jaws on Steel.
- Rust Preventative: This is the one we all ignore. If you live in a humid environment (or you are using water-soluble coolant), invest in some VCI (Vapor Corrosion Inhibitor) paper. We wrap our long-term tools in it, or we just line our storage boxes with it. It’s cheap insurance.
Making the Commitment
Getting organized for your CNC storage isn’t a one-time event. It’s a habit.
- Implement a “Clean as You Go” policy. When you finish a cycle, clean the tool and put it away. Don’t wait until the end of the shift.
- Audit your stock monthly. It is easy to build up a collection of random tools you never use. If you haven’t used it in a year, get rid of it or move it to the far back.
- The “One Box” System: If you take a tool from a box, you put it back in the same box. It sounds simple, but it’s hard to enforce.
